If you’ve ever managed a team inside Perfex CRM, you’ve probably run into this situation: something changed that shouldn’t have — a lead was reassigned, a contract status was updated, an invoice got edited — and there’s no clean way to find out who did it or when.
Perfex doesn’t ship with a built-in staff activity log. You can see the current state of things, but there’s no timeline showing you what happened, in what order, and who made each change. For small teams with one or two people, that’s usually fine. Once you have more staff — especially staff with overlapping responsibilities — it starts to matter.
Why this matters more than people expect
The audit trail problem isn’t really about distrust. Most of the time, nobody did anything wrong. The value of activity logging is simpler: when you need to reconstruct what happened, the information is actually there.
Think about the situations where you’d want it. A client contacts you saying an estimate was modified after they approved it — was it? When? By whom? A project deadline was missed and you’re not sure whether it was a communication failure or a data entry error — the activity log tells you. A staff member leaves and you need to understand what they were working on and where things stand — the log gives you that without hunting through five different sections of Perfex.
Once you’re working with a team of more than two or three people, this kind of visibility stops being optional.
What Staff Audit Log tracks
The module logs activity across the main Perfex sections — leads, customers, projects, contracts, invoices, estimates, tasks, and expenses. Each action is recorded with a timestamp, the staff member who performed it, the module it happened in, and what actually changed.
That last part is what makes it genuinely useful versus just knowing that something happened. You can see the before and after — what the value was, what it was changed to. If a contract amount was edited, the log shows the original figure and the updated one. Not just “contract was modified at 14:32 by Sarah.”
The log is searchable. You can filter by staff member, by module, by date range, or by action type. If you just want to see everything one particular team member did last Tuesday, that’s a few clicks. If you want to see all the changes made to a specific project over the last month, same thing.
Admin-only visibility
The audit log is visible to admins only — staff members can’t see the full log, including their own entries. This keeps things straightforward: the log is a management tool, not something that creates a surveillance dynamic visible to the people being logged.
There’s also an export option. The full log, or a filtered subset of it, can be exported to CSV. Useful for compliance, for client reporting, or for bringing the data into a spreadsheet when you need to do some analysis that goes beyond what the in-module filters handle.
Installation is straightforward
Staff Audit Log is a standard Perfex CRM module — upload the zip, activate it from the modules list, done. No database configuration, no setup wizard. The logging starts immediately after activation, so anything that happens from that point forward gets recorded.
One thing worth noting: it logs actions going forward from when it’s installed. It doesn’t retroactively pull in historical data from before the module was active. That’s a limitation worth knowing about before you install it expecting to investigate something that happened last month.
Who this is actually for
Agencies and freelancers running Perfex with a team — especially teams where multiple people have access to the same clients, projects, or financials. If you’re using Perfex solo, you already know what you did, so this isn’t for you.
But if you’ve ever had that moment of looking at a changed record in Perfex and having no idea when it changed or who touched it — that’s the exact problem this solves. It turns Perfex from a tool that shows you the current state of things into a tool that shows you how things got to the current state.
For a team environment, that’s a meaningful difference.
